Who we are
Coach Oracle ("we", "us") provides an AI-assisted coaching intelligence tool for professional coaches. This policy explains what personal data we collect, why, and the choices you have. If anything here is unclear, email us at info@coachoracle.com.
An important distinction: your data and your clients’ data
When you sign up, we collect your account details (email address). When you use Coach Oracle to log and analyze coaching sessions, you provide us with your clients’ personal data — potentially sensitive information shared in confidence during coaching.
For that client data, you are the data controller and Coach Oracle is a data processor acting on your instructions. You are responsible for having a lawful basis (typically your client’s informed consent) to enter their information into a third-party tool, and for telling your clients that AI-assisted analysis is part of your coaching practice where relevant.
What we collect
- Account information: your email address, authentication records.
- Content you submit: client names or identifiers you choose to enter, session notes, and any other text you provide for analysis.
- AI-generated output derived from that content: summaries, detected patterns, breakthroughs, contradictions, coaching questions, and reports.
- Billing information, handled directly by Stripe (see below) — we do not store card numbers.
- Basic technical data (e.g. login timestamps) needed to operate the service securely.
How we use it
- To provide the core service: analyzing session notes and generating coaching intelligence.
- To operate your account, including free/Pro access control and billing.
- To maintain security and prevent misuse of the service.
- To respond when you contact us.
We do not sell personal data, and we do not use your content to train AI models.
Who we share data with
We use a small number of specialist providers (sub-processors) to run the service:
- Anthropic (Claude API) — processes session notes to generate the analysis you request. Content is sent for the purpose of that analysis and is not used by Anthropic to train their models under their commercial API terms.
- Supabase — hosts our database and handles authentication. Your account and content are stored here, protected by access controls scoped to your account.
- Stripe — processes payments. Stripe receives what it needs to process a transaction; we never see or store your full card details.
Data retention
We retain your account and content for as long as your account is active. If you’d like your data deleted — your own account or a specific client’s records — email info@coachoracle.com and we will action this within a reasonable time.
Your rights
Depending on where you and your clients are located, you may have rights under data protection law (such as the GDPR) including the right to access, correct, delete, or export personal data, and to object to certain processing. To exercise any of these rights, contact info@coachoracle.com. As the data controller for your clients’ information, you are responsible for handling rights requests from your own clients; we’ll assist you in fulfilling those where needed.
Security
Access to your data is protected by authenticated, per-account access controls at the database level, and encrypted in transit. No method of transmission or storage is 100% secure, but we take reasonable technical and organizational measures to protect your information.
Cookies
We use only the minimal cookies necessary to keep you signed in securely. We do not use advertising or third-party tracking cookies.
Changes to this policy
We may update this policy from time to time. Material changes will be reflected by an updated "Last updated" date above.
